We are Girls in Sport - Privacy Notice


We are Girls in Sport is a global movement to encourage and support girls. To do this we need to speak to people and share their stories, which means we need to process personal data, some of which will be deeply personal information about an individual’s history, struggles and accomplishments. We take great care to do this in a way that spreads positivity and so we ensure we respect the wishes of the individuals who entrust their data to us and look after this as if it was our own.

Because we speak to children about their stories, we’ve taken care to make sure that this information isn’t hard to read for them, please let us know if you think that we could improve anything.

What type of information we have

We collect and process the following information:

Contributors - People who feature in the stories we publish or appear in our podcast

  • Name

  • Email

  • Phone number

  • Life experiences, which may include mental and physical health incidents along with information about the causes of these


Parents/caregivers of contributors – where the contributor is a young or vulnerable person

  • Name

  • Email

  • Phone number

  • Relationship to contributor (e.g. father, mother)


Mailing List – individuals who have signed up to receive email from us

  • Email

  • Name


Grant Funder – If your organisation provides grants and we are applying for these

  • Organisation Name

  • Address

  • Contact Name

  • Email

How we get the information and why we have it

Most of the personal information we process is provided to us directly by you for one of the following reasons:

  • Because you want to share your story to help others grow and benefit from learning about your experiences, their impact on what you have done.

  • You may want us to stay in touch to keep you up to date with what we are doing and for you to see the stories we share.

We do not obtain any information about you from any other sources, only what you provide to us directly.


Under the General Data Protection Regulation (GDPR), the lawful basis we rely on for processing this information are: 

We have your consent

  • If you share your story with us, we will tell you exactly what our plans for your story are, including where we will publish it and what we will include. We will ask for your consent to do this, and if you are young or vulnerable, we may also ask a parent or caregiver for consent.

    • We will need to make sure that we have consent from the right person, which might mean we need to have a video call with them.

  • If you sign up to our mailing list, then we will send you emails containing updates and information about our movement and how you can help us.

We have a contractual obligation

  • If you are a grant provider and we apply for a grant, then we may need to process organisation and personal data to ensure we are dealing with the correct individual.

  • If you purchase merchandise from us, then we will need to process your personal data to fulfil your order.

We have a legitimate interest

  • If you have bought merchandise from us and we have other items that we think you may be interested in, then we may contact you with information about these. We will always provide a simple and easy way for you to opt-out of this every time we contact you.

We have a legal obligation

  • If we are required to verify parental consent for a young or vulnerable contributor then we will need to process the personal data of a parent or caregiver.


What we do with the information we have

We use the information that you have given us in order to:

  • Further our mission to improve the lives and prospects of girls around the world

  • Publish real life stories to inspire others

We do not share this information with any third parties.


How we store your information 

Your digital information is securely stored in reputable cloud systems which are either located within the EU or with a provider who provides a Data Processor Agreement including Standard Contractual Clauses (SCC). Only authorised individuals have access to personal data.

We keep your personal information for a time which is in accordance with our retention policy. We will then dispose your information.


Your data protection rights

Under data protection law, you have rights including:

Your right of access - You have the right to ask us for copies of your personal information. 

Your right to rectification - You have the right to ask us to rectify information you think is inaccurate. You also have the right to ask us to complete information you think is incomplete. 

Your right to erasure - You have the right to ask us to erase your personal information in certain circumstances. 

Your right to restriction of processing - You have the right to ask us to restrict the processing of your information in certain circumstances. 

Your right to object to processing - You have the right to object to the processing of your personal data in certain circumstances.

Your right to data portability - You have the right to ask that we transfer the information you gave us to another organisation, or to you, in certain circumstances.

You are not required to pay any charge for exercising your rights. If you make a request, we have one month to respond to you.

How to complain

However, if you are not satisfied with the response you receive then you can contact the ICO if you are unhappy with how we have used your data.
